• How does Consignloop handle a return or refund after a consignor has already been paid, including updating their balance and inventory?

  Returns are handled as a void of the original sale, and the consignor's payout status decides what happens to the money.

  The reversal itself. On the Sales page you click the undo arrow on that sale, enter a reason and your initials, and void it. Consignloop never deletes a sale: it stays on the books struck through, with the reason and who authorised it, and it is excluded from revenue, reports, statements and balances from that moment. The item goes straight back to Available with the same item number and barcode, so the original tag still scans. If you take payments through Square, a refund at the Square register does all of this on its own, signed "SQ".

  If the consignor has not been paid yet, their balance simply drops by their share of that sale, and that is the end of it.

  If they have already been paid, their balance goes below zero by that share, and the Consignors page shows it as, say, "$12.00 overpaid". You do not have to chase anyone: their next sales fill that gap first, and they only reappear on the Payouts page once they are owed money again. If the consignor hands the money back instead, you correct the original payout in Payment History (again with a reason and initials) and the balance returns to zero. Either way the statement shows the sale, the void and the payout, so the consignor can follow exactly what happened.

  A partial refund (a price adjustment rather than a return) is handled by voiding the sale and recording it again at the new amount, so the split is recalculated on what the customer actually paid.

  Nothing in this touches your inventory count or the consignor's share rate; one void, one record, and the ledger balances itself.
