• When a channel sends conflicting availability updates for the same room, how does Vortex prevent double bookings and show which change it applied?

  Channels never set availability in Vortex PMS. Vortex PMS holds the one availability count for every room, and the channels (Booking, Airbnb, Expedia and the rest) only receive it from us. What a channel sends back is a booking, a change or a cancellation, never its own availability.

  Every booking, change or cancellation, from any channel or from the front desk, updates availability on all channels at once. An incoming booking is placed in a room that is free for those dates. When a change to an existing booking comes in, its own nights are left out of the check, so the booking is not refused against itself. If two channels sell the last room at the same moment, the second booking is not squeezed into a room that is already taken. It goes to a separate list for the host to place or move, so it is never lost and never doubled.

  Every 30 minutes Vortex PMS also reads what each channel is actually showing for the next 500 nights and compares it with what can really be sold. If a channel shows more rooms than are free, Vortex PMS lowers those exact nights straight away and alerts our support team. If a channel shows fewer, it is logged and never opened automatically. Each of these corrections is recorded in the audit log, so you can see exactly which change was applied and when.
